Lead Stages Explained

Definitions of the lead stages New, Attempting, Connected, Qualified and Disqualified, plus the automation rules behind them.

To manage and track leads efficiently in HubSpot, we use clearly defined Lead Stages that reflect the current status of engagement between Sales and the lead. These stages help us ensure consistency, accountability, and visibility across the funnel — from new contacts to qualified opportunities or disqualified leads.

Below is a breakdown of each stage and what it means in practice:

New

Definition: An SQL that has entered the system but has not yet been contacted.

Typical scenario: Leads that filled out a form.

Action: Assigned to a sales rep for follow-up.

Attempting

Definition: Sales is actively trying to reach the lead, but no live interaction has taken place yet.

Typical scenario: First call, voicemail, LinkedIn outreach, or follow-up email sent.

Action: Continue chasing using the agreed outreach sequence.

Connected

Definition: Sales has established contact with the lead (email, call, meeting) and is now assessing whether there is a real need or potential opportunity.

Typical scenario: First live conversation or positive email reply.

Action: Qualify by asking the right questions to understand fit, budget, and timing.

Qualified (Manual)

Definition: A real opportunity has been identified and the lead is ready to move into the deal pipeline.
Typical scenario: The lead expresses interest in a product, agrees to a demo, or has a defined use case and buying intent.
Action: Manually move to this stage and create a deal in the appropriate pipeline.

Disqualified (Manual)

Definition: The lead is not a fit for our solution — either permanently or temporarily.
Typical reasons: Wrong region, no budget, competitor lock-in, student, reseller, spam, etc.
Action: Manually set this stage to disqualify and add the disqualification reason.

Automation rules

  • The transition between most stages is automatic, based on engagement triggers (e.g. email opens, replies, meetings booked).
  • However, the following stages require manual action from Sales:
    • Qualified (because it results in a deal)
    • Disqualified (because it requires judgment)

This process ensures Sales has ownership of key qualification decisions while automating routine tracking to reduce admin work.
